HR Project Specialist (6 months FTC)

Our Not for Profit Client in Dublin are seeking to recruit a Project HR Specialist. The HR Project Specialist will ensure smooth execution of tasks such as recruitment administration, scheduling, record keeping, general HR duties and will manage minutes and attend meetings to ensure minutes are recorded accurately.

Key Responsibilities:

  • Preparing and coordinating reports, presentations, and meeting documentation.
  • Managing schedules, meetings, and office operations to ensure seamless functionality.
  • Strategically oversee recruitment administration and scheduling, ensuring efficient and compliant processes.
  • Lead or support HR initiatives, such as employee engagement programs and diversity and inclusion projects.
  • Coordinate across teams, track milestones, and communicate progress on all initiatives introduced.
  • Oversee the employee sharepoint, ensuring timely updates, system enhancements, and design improvements.
  • Management and coordination of employee internal communications
  • Maintain and manage the staff directory and other IT-related HR systems.
  • Contribute to the planning, organising and scheduling of staff conferences, events, and other HR-led initiatives to enhance organizational engagement and communication.

 

Experience:

  • Minimum diploma level in Human Resources, Business Administration, or related field
  • Minimum 2-3 years of proven experience providing executive-level support to C-suite leaders.
  • Demonstrated expertise in managing projects, events, and large, multi-functional meetings within a complex stakeholder environment.
  • A strong track record of managing competing priorities in a fast-paced, demanding environment.
  • Experience making informed, independent decisions, including process improvements, initiating collaborations, launching new initiatives, and adapting project plans as needed.
  • Confident, assertive, and trustworthy, with a high level of integrity and professionalism.
  • Demonstrated ability to handle highly sensitive and confidential information with discretion.
  • Exceptional organizational skills, attention to detail, and ability to multitask efficiently.
  • Outstanding written and verbal communication skills and drafting and minute taking
