Tender Administrator

Our client, a leading provider of utility solutions, is seeking a detail-oriented Tender Administrator to join their estimating team. This role is crucial in supporting the tendering process, ensuring that all bid submissions are completed accurately and on time. The successful candidate will work closely with the Estimating, Commercial, and Project teams to manage documentation, coordinate submissions, and maintain compliance with tender requirements.

Key Responsibilities

  • Tender Coordination: Assist in preparing and submitting tender documents, ensuring compliance with client and regulatory requirements.
  • Documentation Management: Maintain accurate and up-to-date records of tender submissions, correspondence, and supporting materials.
  • Bid Preparation Support: Gather and compile necessary information for tenders, including technical details, financial data, and project references.
  • Communication: Liaise with internal teams, subcontractors, and suppliers to obtain required documentation and certifications.
  • Deadline Management: Track tender deadlines and ensure submissions are completed on time.
  • Compliance & Quality Assurance: Review and verify all tender documents to ensure accuracy and adherence to company and industry standards.
  • Reporting: Maintain tender registers and generate reports on bid outcomes and success rates.

Requirements

  • Previous experience in a tendering, bid administration, or procurement support role, preferably in civil projects,  construction, utilities, or engineering industries.
  • Strong administrative and organizational skills with exceptional attention to detail.
  • Ability to manage multiple tenders simultaneously while meeting strict deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
  • Knowledge of public procurement processes and tender portals is an advantage.
