Key Responsibilities:
- Collaborate closely with the lettings team and administration department while also demonstrating autonomy and adaptability in a fast-paced environment.
- Uphold a positive, proactive, and polite demeanor, embodying the values of teamwork and exceptional customer service.
- Utilize strong time management and organizational skills to prioritize tasks effectively and manage multiple responsibilities.
- Possess excellent verbal and written communication skills, along with proficiency in Microsoft Office applications (Word, Excel) and Outlook.
- Demonstrate confidence in interacting with clients and colleagues both in-person and over the phone.
- Display a willingness to learn and take initiative in optimizing office workflows and processes.
Main Tasks:
- Assist in producing and updating administrative documents, facilitating the smooth progression of tenancy applications and agreements.
- Respond promptly to lettings inquiries and viewing requests, managing the Outlook Calendar for scheduling appointments.
- Handle incoming telephone calls, filter messages, and address general inquiries with professionalism and efficiency.
- Maintain accurate logs of lettings inquiries and contribute to compiling weekly reports and statistics for clients.
- Perform administrative tasks such as marking up documents, typing, copying, scanning, and printing as required.
- Ensure compliance with Residential Tenancies Board (RTB) registration requirements.
Qualifications and Skills Required:
- Minimum of two years’ experience in a property administration-related role.
- Proficient in verbal and written English.
- Strong organizational and time management abilities.
- Exceptional customer service orientation.
- Familiarity with Microsoft Office suite and Outlook.
- Proven capability to work collaboratively in a team environment.
