Executive Assistant required for our client based in the Midlands. Working and supporting an FD and an Executive Management Team this role will suit someone that has experience of working with Snr Management Team and is professional, assertive and discreet.

The role is busy, varied and duties include;

  • Personal Assistant support to the FD & Executive, inclusive of remote receptionist duties
  • Diary management, Organisation of internal and external meetings. Co-ordination of video and teleconferences, seminars and Senior team off-site meetings
  • Monitor and manage all stationary and manage procurement for the office
  • Coordinate with the office of the CEO, liaising with and providing cover for the CEO’s EA ensure smooth links between all members of the Executive and Senior Management Team.
  • Assist with Effective Operation of the FD Office & the Finance Department.
  • Management of all assigned Purchase Requisitions and good receipt notices on behalf of the Executive
  • Manage the invoice register, AP & Shared service infrastructure for the finance department
  • Support the Finance department in financial activities, accounts support and projects as required.
  • Assist the FD is the administration of company secretarial duties & contract administration support
  • Manage all executive team expenses and company credit card purchases
  • Manage Provision of Travel/Hotel/Entertaining Services, ensuring suitable and cost effective arrangements are established with travel suppliers, hotels and entertaining/hospitality providers
  • Manage Key Office Facilities & other Projects as agreed with FD
  • Organisation of internal company and FD meetings
  • To perform other job-related roles and duties as and when required by the FD & Executive Team.
  • Assist the FD is the administration of company secretarial duties & contract administration support

Key Attributes/Person Specification:

  • 6 years EA experience at Senior Management and Executive level
  • Business or related third level qualification
  • Strong office & project management skills
  • Good financial acumen & control
  • High level of confidentiality
  • Excellent oral and written communication skills
  • Excellent knowledge of Microsoft Office including high proficiency in Word, Excel and Powerpoint
  • Forward thinking and proactive to the needs of the business and relevant individual with an ability to work on own initiative
  • Flexibility on work hours during demanding periods, travel may be required on an adhoc basis.
